PST Export for Microsoft 365 x360Cloud from Axcient

PST Export for x360Cloud Global Release

As one of our latest product upgrades, Axcient developed export capabilities for personal storage tables (PST) in x360Cloud. Why? Microsoft 365 (formerly Office 365) uses PST files to store copies of messages, calendar events, contact information, and other data. Matching export specificity with the platform’s storage method significantly speeds up Microsoft 365 restoration. With most MSPs and 11 million SMBs relying on Microsoft 365, it’s essential for business continuity that the data be strongly backed up and ready for rapid restoration.

The biggest challenges during data loss events are prompt data reception and an efficient method of exporting as a PST file. Utilizing PST export for x360Cloud eliminates those concerns, providing a streamlined and reliable strategy for Microsoft 365 business continuity. Reinforce disaster recovery planning and testing, and sleep soundly, knowing PST export is ready and waiting.

Critical Characteristics of PST Files

PST files are a crucial component of Microsoft 365, providing a convenient way to store and manage various data types. Understanding primary PST features according to Microsoft 365 helps MSPs effectively organize and secure Microsoft 365 data.

  • Location: PST files are saved directly on the user’s computer, providing access to emails and other Microsoft 365 data even without an internet connection. Exporting a PST file makes the data portable and significantly more accessible than other file formats, offering a flexible approach to data management.

  • Content: These files store various types of Microsoft 365 data, including emails, contacts, calendar events, tasks, notes, and journal entries, so no data is left unprotected or vulnerable to permanent data loss.
  • Size: Older versions of Outlook deployed before Outlook 2023 typically limited PST files to 2 GB. Modern versions have much larger capacities, often storing up to 50 GB or more.
  • Format: Microsoft creates PST files in a proprietary format that can be handled and modified using native tools or recommended third-party software, like Axcient.

What is x360Cloud?

First, if you’re not familiar with it, x360Cloud is Axcient’s business continuity and disaster recovery (BCDR) solution for Microsoft 365 and Google Workspace backup. As the Microsoft Services Agreement recommends, x360Cloud is a third-party solution that provides the regular backup of content and data stored on the services or store.

Utilizing x360Cloud instead of relying on Microsoft’s limited 14-to-30-day retention period empowers MSPs to recover data quickly, even if there is a Microsoft outage. The alternative – risking complete downtime during an outage – results in more downtime, higher costs, questionable recovery potential, and risks to the MSP’s business and reputation.

Using robust, advanced, and patented technologies, x360Cloud offers the following critical capabilities, all designed to help MSPs recover faster:

  • SmartSearch instant full-text search and filtering searches more than 100 million objects in less than 5 seconds, including all users and services (even email attachments).

  • Chain-Free backup technology enables most SMB use cases with pooled storage at a flat fee. Instead of reseeding data, managing data bloat, and responding to storage overages, enjoy long-term retention, predictable billing, and 99.999% durability and availability.
  • AirGap is a built-in and always-on anti-ransomware and data loss feature that separates backup requests from actual backup mechanics to ensure data immutability and prevent malicious or accidental data loss.

MSP Use Cases for PST Export in x360Cloud

Exporting Microsoft 365 data in a simple PST format offers a rapid solution in emergency and compliance situations, empowering MSPs to access and recover information efficiently while meeting regulations and service level agreements (SLAs). Armed with this recovery acceleration layer, there are various reasons why MSPs are leveraging the opportunity. Here are 3 of the most common use cases highlighting MSP applications.

#1: Quick Exports and Imports

Fast PST Export of up to 100GB of mailbox data so it can be imported at high speeds by Microsoft Outlook back into M365.  Export the data to PST files to establish another cybersecurity barrier for added data protection. The results are seamless Microsoft 365 data exports that enhance security and expedite recovery with the added benefits of Chain-Free backup simplicity, AirGap immutable data, and SmartSearch rich-text filtering.

#2: Compliance and audits

Satisfy the requirement that MSPs, clients, or legal advisors must provide readable copies of a mailbox for review and investigation. Exporting mailbox data like emails, contacts, and calendar events to PST files is an effective solution for securely providing access to data for review. PST files are universally readable using Microsoft Outlook, ensuring all necessary information is available, compliant, protected, and organized. This method helps MSPs meet regulatory requirements and provide accurate and complete data for audits and legal or forensic investigations.

#3: Data Archiving

Create an offline copy of a mailbox at a specific point in time. This is a particularly valuable use case for a terminated employee’s email account. By exporting the mailbox data to a PST file, MSPs can preserve it exactly as it was when the employee was terminated versus when they lost access to Outlook. The offline copy guarantees that this important information is retained for future reference, compliance, or legal purposes. The PST file can be securely stored and accessed as needed, providing a reliable and organized method for archiving critical mailbox data.
